Job Description

Position Overview

The Project Administrator supports project management activities by maintaining accurate documentation, tracking budgets, and coordinating essential project tasks. This role ensures smooth communication between project managers, foremen, and other stakeholders while maintaining compliance with company standards.

Key Responsibilities

  • Submittal Management
    • Initiate and maintain submittal logs.
    • Prepare cover sheets and compile submittal packages based on PM-provided items.
    • Submit packages after PM review and track approvals/rejections.
    • Follow up with General Contractors on outstanding items.
  • Budget Tracking
    • Enter purchase orders and invoices after PM approval.
    • Ensure alignment with Timberline system.
  • Lift Rental Coordination
    • Monitor lift rental renewal dates and update PM.
    • Schedule pickups/drop-offs after PM coordination with onsite foreman.
  • Time Card Administration
    • Collect weekly time cards and share with PM.
    • Enter and update hours used; compare against budget weekly.
    • Communicate updates via email to PM and designated team members.
    • Verify inclusion of change order hours in budget tracking.
  • Project Warranties & O&M Manuals
    • Compile warranty and O&M documentation based on PM input.
    • Obtain PM review and signature before submission to GC.
    • Provide copies to internal stakeholders.

Qualifications

  • Strong organizational and communication skills.
  • Proficiency in project tracking tools and systems (e.g., Timberline).
  • Ability to manage multiple tasks and deadlines.
  • Detail-oriented with a focus on accuracy.
